THE OPPORTUNITY

As Project Officer, you will support the delivery of our capital works program by coordinating project closeout, asset handover, defect management and reporting activities across the group. Reporting to the Portfolio Services Manager, you'll work with project teams and internal stakeholders to track closeout progress, monitor handover readiness, support asset acceptance and capitalisation, and ensure project information is accurate, complete and aligned with governance requirements.

 

You will also maintain key project documentation, systems, registers and records to support effective project closeout and lifecycle governance, acting as a point of contact for closeout, handover and warranty-related enquiries, and contributing to continuous improvement across the group.

 

A DAY IN THE LIFE

  • Facilitating the timely closeout of assigned projects in accordance with organisational procedures and governance requirements.
  • Leading the end-to-end project closeout process and guiding project teams through handover requirements.
  • Tracking handover readiness against project governance gates, identifying gaps, risks and emerging issues early.
  • Managing the asset acceptance checklist and following up on outstanding actions with asset management.
  • Supporting project capitalisation activities by tracking, monitoring and reporting capitalisation status.
  • Drafting project closeout reports and progressing them through the approval process.
  • Coordinating WAE drawing approvals in EDMS and asset creation in Maximo for approved project scope.
  • Acting as first point of contact for warranty claim enquiries and coordinating rectification activities.
  • Maintaining defect registers and monitoring outstanding defects against agreed rectification timeframes.
  • Providing monthly reporting on project closeout and asset handover readiness status.

You are a highly organised and detail-oriented professional who thrives on bringing structure and clarity to complex closeout processes. You work independently, show initiative, and know how to manage competing priorities without losing sight of governance and quality. You build strong working relationships across a diverse range of internal stakeholders, and you're comfortable chasing down outstanding actions with persistence and professionalism.

 

YOU WILL BRING

  • A tertiary qualification at degree level in an appropriate discipline, or relevant equivalent experience.
  • Relevant experience in the management or support of construction projects.
  • A sound understanding of project management processes.
  • Well-developed interpersonal, report writing and business reporting skills.
  • Excellent verbal and written communication skills.
  • Excellent analytical and problem-solving capability.
  • High-level proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint.

 

Desirable:

  • Experience using ERP packages such as Maximo and/or SAP, and proficiency in systems such as TeamBinder, TRIM, PPM and PDGS.
