THE OPPORTUNITY
Transgrid's commercial team is looking for a Contracts Administrator to help manage the contract cycle across a portfolio of project delivery contracts. Based in Ultimo and reporting to the Commercial Director, you will work closely with Contract Managers, Project Managers, Project Engineers, schedulers, project controllers and external contractors to keep contract administration running smoothly across prescribed and non-prescribed projects.
This is a role for someone who is organised, accurate and comfortable working in a busy project environment. You will be across multiple contracts at once, keeping registers updated, drafting correspondence, supporting the preparation of notices and claims, and helping the commercial team stay on top of their contractual obligations. If you have a background in contract or construction project administration and want to work in energy infrastructure, this is a good fit.
A DAY IN THE LIFE
The work varies across the contract cycle but here is a general picture of what you will be managing.
- Contract Administration: Preparing contractual notice templates at the start of projects, tracking contract management tasks in the Contract Actions Register, Variation Register and EOT Register, and making sure Contract Managers are across their upcoming deadlines. You record all notices, claims and schedules as they come in and keep the registers current.
- Document Control and Correspondence: Managing the housekeeping of contract notices, claims and program schedules, drafting correspondence on behalf of Contract Managers to both internal and external stakeholders, and assisting with the submission of notices, claims and other contractual documents. You also help prepare the Contract Commercial Manual.
- Program Controls Support: Assisting with the compilation of financial, dashboarding and KPI information for the program, and helping interrogate construction schedules to support regular project status reports for the business and internal stakeholders.
- Reporting: Supporting the preparation of monthly project reports for both prescribed and non-prescribed projects. You keep the information accurate and make sure it gets to the right people on time.
- Stakeholder Coordination: Working with internal stakeholders on document control compliance, explaining policies clearly and managing issues as they come up. You build good working relationships across the project team and keep communication straightforward.
- Process Improvement: Looking for simpler ways to do things across invoicing and document control, identifying who is affected by proposed changes and helping implement approved improvements once they are signed off.
ABOUT YOU
You are organised, accurate and good with systems. You have experience in contract or construction project administration, you communicate clearly and you can manage competing priorities without things falling through the cracks.
- Demonstrated experience in contract administration, construction project administration or a closely related role.
- High level of diligence and accuracy in tracking work, document naming, filing and managing contract registers.
- Proficiency with the MS Office Suite including Word, Excel and Outlook.
- Strong document management skills with familiarity across a variety of document management systems.
- Good analytical and problem solving ability with a proactive approach to issues as they arise.
- Strong time management skills with the ability to juggle competing priorities and meet deadlines.
- Clear written and verbal communicator who can build rapport with a range of stakeholders and present information concisely.
Good to have:
- Proficiency in SharePoint for document management.
- Experience with InEight or TeamBinder systems.
- Prior exposure to commercial or contracts teams on infrastructure, energy or construction projects.
- Familiarity with construction schedules and program reporting.
WHY THIS ROLE MATTERS
Contract administration on large infrastructure projects is not paperwork for the sake of it. Missed deadlines on contractual notices, gaps in variation registers or poorly tracked EOTs can have real commercial consequences for Transgrid and the projects it delivers. The Contracts Administrator is the person who keeps that operational layer running cleanly.
Sitting within the commercial team and working across project managers, engineers, schedulers and external contractors, you get broad exposure to how project delivery actually works from a contracts perspective.
