The Opportunity

This role goes beyond traditional administration. As Administration Assistant in the CEO Office, you will be at the centre of our leadership and governance operations. You will work closely with the Executive Assistant to the CEO and interact with the CEO, ELT, senior management and stakeholders at all levels of the organisation. While this role is primarily based in our Ultimo office under a hybrid working arrangement, candidates should note that during certain periods of the year, particularly November and December, significant regional travel is required to support the Annual CEO Roadshow and related leadership events.

 

It is a role that combines precision, professionalism, and trust with the ability to anticipate needs, manage complex logistics, and handle sensitive information with absolute discretion. You will be instrumental in ensuring our most senior forums run seamlessly, our leadership is well supported, and our people remain connected to the CEO through major organisational initiatives. This role is offered on a 9-day fortnight, giving you the benefit of a regular RDO while working in a dynamic and high-profile executive environment.

 

Key areas of focus include:

  • Providing daily support to the EA and CEO, ensuring smooth executive operations.
  • Coordinating ELT and TLG meetings, setting up and maintaining ELT and Board calendars, and preparation of agendas, papers, and packs.
  • Managing and delivering the Annual CEO Roadshow, engaging directly with employees across regional depots.
  • Overseeing financial administration including expenses, travel bookings, purchase orders, and reconciliations.
  • Driving improvements to systems and processes, ensuring the CEO Office remains efficient and future ready.

Nice-to-have experience includes prior exposure to CEO/Board offices, governance environments, or C-Suite support roles. Though equally important is your ability to bring energy, resilience, and professionalism and a dose of fun to the role each day.
